Build a consistent cargo description
Use a clear description of the goods across the shipment information. Include quantities, package details and values where relevant. Resolve differences between documents before asking the team to proceed.
Gather the available documents
Start with the commercial invoice, packing list and available transport documents. Share the origin, destination and parties involved. The clearance team can then identify what else is required for your specific shipment.
Discuss product-specific requirements
Tell the team about the intended use and any sensitive or regulated products. Ask whether permits, approvals or additional supporting information are needed. A general document list should never replace shipment-specific review.
Plan costs and responsibilities
Ask for a clear explanation of the quoted service scope and any charges that remain subject to confirmation. Establish who provides information, who coordinates the process and how queries will be handled.
Keep communication and records organized
Choose a contact person for document questions. Keep updated copies together, record changes and ask for progress updates at agreed stages. Contact MALCO with your shipment details to begin the review.
